With this being the largest sporting event in the world, we have been planning extensively over the past couple of years. Our teams will support aircraft on arrival and departure, oversee charter operations, and provide assistance for clients’ additional charter requirements as the tournament progresses into the latter stages.

During major sporting events like this one, some Fixed Based Operators (FBOs) introduce special event costs. While these costs vary by airport and aircraft type, we have seen additional FBO charges typically ranging from USD 5,000 to USD 10,000. All fees will be highlighted early in the planning process to ensure full transparency.

Weather is one of the primary factors we’re planning for, particularly storms which will inevitably take place across the eastern and southern regions of the USA. Trends suggest that storm activity tends to increase between 14:00 and 20:00, which can impact air traffic. Another common factor is post-match congestion, when we’ll see an influx of traffic returning to the airport. To manage this, the FAA will only allocate a certain number of slots to minimise the effect to a charterer. ACS is also mitigating these challenges through early slot applications, careful scheduling, and real-time coordination with operators and airport authorities.

High-profile matches, including the opening games as well as latter-stage fixtures through into the finals, are expected to see significant demand. As such, arrival and departure slots will be limited and must be applied for in advance.

Yes, and we actively encourage it. Chartering an aircraft for the World Cup is a unique experience, and branding helps make it personal and memorable. Options can include branded headrest covers, carpets, napkins, coasters, and boarding signage. We work closely with operators to ensure branding remains practical, compliant, and achievable within aircraft preparation and servicing timelines.

Under normal circumstances, operators submit handling and slot requests around 3 to 4 weeks prior to departure. Given the scale of the World Cup, ACS will request that operators submit these applications as soon as contracts are signed. Slot change requests can be submitted if schedules need to be adjusted, though approval is subject to airport availability and cannot be guaranteed during peak periods.

World Cup charter groups typically fall into two categories:

• Matchday-only travel, where passengers carry handheld luggage only and restrictions are minimal.
• Multi-city travel, where passengers bring all their personal luggage between venues.

Baggage allowances depend on the aircraft type, but as a general guideline, one 20kg bag plus 10kg of hand luggage per passenger is suitable for most charter aircraft. ACS will confirm exact limits during the aircraft selection process.

In the USA, Mexico, and Canada, charter flights commonly operate via FBOs and ramp handling, which provide a faster and more private experience than main passenger terminals. While charter operations can use main terminals, scheduled airline traffic is prioritised. Our recommendation is to operate through FBOs wherever possible to ensure smooth check-in, reduced waiting times, and a smooth group travel experience.
